The Strategy & Governance Coordinator is responsible for coordinating and supporting divisional programs and initiatives, such as Industry Partnerships, and the Rural Volunteers program, and acting as a liaison between industry and rural partners. The incumbent performs with a prominent level of professionalism and integrity, works independently with mínimal supervision, and demonstrates excellent time management and problem-solving skills to meet the defined organizational goals and objectives.
- *What you will do in this role**:
- *Rural Volunteers Program Support (35%)**
- WSPS Rural Volunteer Advisory Group (RVAG): Coordinates regular meetings, supporting the development of agendas, meeting dates, attendance, and minute taking and dissemination.
- Supports rural partner participation in rural program initiatives and planning including meeting arrangements, and consolidation of inputs. Fulfills the Rural Volunteer Advisory Group’s (RVAG) Progressive Agriculture Coordinators requests for rural awareness material including ordering, inventory management and distribution.
- Coordinates the Rural Community Partner Project Funding (RCPPF) program including communicating with eligible stakeholders, coordinating review process, participating on funding review committee, and following up on funding process requirements.
- Coordinates activities with rural community groups supporting their Agricultural regional outreach activities and events.
- *Partner Relationship Outreach and Events Support (25%)**
- Coordinates responses to requests regarding partner initiatives with team and other departments, including Marketing and Communications.
- Supports consultations with industry partners and stakeholders, documenting and summarizing industry sector insights, and priorities as required.
- Synthesizes information to develop and compose briefing notes, summary reports and presentations as required.
- Respects confidentiality of content shared in this role that may be embargoed, politically sensitive or shared in confidence.
- Coordinates arrangements for WSPS planned partner events, including speaker presentations, notices, room booking, travel, catering, audio-visual, online seminar, and recordings.
- *Monitors and Supports Department Process and Reporting Deliverables (20%)**
- Monitors and maintains master Industry/Strategic Partner list and partner management process requirements including progress and outreach metrics and coordinates departmental input into reporting and update briefings.
- Consolidates Industry/Strategic Partnerships contribution to quarterly TPA (Transfer Payment Agreement) tracking and reporting under guidance of manager and coordinates the data requirements with appropriate departments.
- Works with internal and external stakeholders to support the department’s reporting deliverables.
- Coordinates and collates required information from rural partners for TPA reporting.
- Follow-up monthly with team members to ensure articles are being distributed to our industry partners. Track, maintain, and report on the article/communications distribution program.
- Documenting the processes as they are developed and refined. Serves as a liaison between the department and other operating units in the resolution of day-to-day administrative and operational problems.
- *Administrative (20%)**
- Divisional/Departmental meeting support, including invites, minutes, action items, booking of rooms both onsite and virtual.
- Coordinates departmental, project and partner meetings with internal and external stakeholders.
- Reviews incoming program expense forms and receipts while reconciling any discrepancies, confirming appropriate approvals before processing the forms.
- Provides administrative support for the department including printing and material ordering, data entry, and resolving a range of administrative problems and inquiries
- Invoice processing and PO request management in compliance with WSPS Financial policies.
- Online file management and tracking - managing of the departmental Teams and SharePoint collaboration sites.
