Health & Safety Administrator

to join its Technical Services team. This role provides

administrative and training support

for Harvard’s Health, Safety & Environment (HSE) program across

Alberta, Saskatchewan, and Manitoba

Edmonton, Alberta

About the Role

The Health & Safety Administrator supports the delivery and administration of Harvard’s HSE program by coordinating training, maintaining documentation, monitoring compliance requirements, and supporting the HSE Manager and Technical Services team.

This role is

administrative in nature

and

does not perform routine site inspections

.

Occasional site visits

may be required to assist with

training delivery, orientations, or follow-up support

, as directed.

Key Responsibilities

HSE Program Administration

  • Administer and support Harvard’s HSE program across assigned regions.
  • Assist with the development, maintenance, revision, and publishing of HSE policies, procedures, guidelines, and job hazard documentation.
  • Maintain Harvard’s online HSE Manual, ensuring content is current, accurate, and accessible.
  • Monitor changes to health and safety legislation, codes, and best practices and bring forward relevant updates.

Orientation, Training & Systems Support

  • Coordinate and administer HSE orientation and onboarding for new hires.
  • Support training delivery and system onboarding for Harvard’s HSE platforms (e.g., The Hub, BIS Trainer).
  • Assist with developing, updating, and administering HSE training materials.
  • Track training completion, credentials, and certifications; maintain training matrices and records.
  • Coordinate third-party training (e.g., Fall Protection, Aerial Work Platform, First Aid), including scheduling and documentation.
  • Provide follow-up or refresher training when new procedures are implemented or as directed.

Incident & Risk Management Support

  • Provide administrative support for incident investigations, including documentation, tracking, and corrective action follow-up.
  • Maintain incident statistics and assist with preparing internal HSE reports and summaries.
  • Support modified return-to-work tracking in coordination with the HSE Manager and Corporate HR.

Regional & Office Safety Support

  • Support region-specific HSE administrative requirements, including supplier compliance systems (e.g., Avetta) where applicable.
  • Assist with office-level safety responsibilities such as Emergency Response Plan updates, safety board maintenance, and visitor orientations.
  • Support Office Safety Warden activities as assigned.

General Support

  • Collaborate with operations, property management, facilities management, and project teams to support HSE objectives.
  • Maintain accurate records, reports, and documentation within Harvard’s enterprise systems.
  • Assist with special projects and other related duties as assigned.

Qualifications & Experience

  • Health & Safety Administrator (HAS) designation or equivalent.
  • Post-secondary education or equivalent experience relevant to health & safety administration or real estate operations.
  • 5+ years of experience in health & safety administration

, real estate operations, or a related administrative role.

  • Working knowledge of occupational health and safety legislation and regulatory frameworks.
  • Strong organizational, documentation, and record-keeping skills.
  • Proficiency in

Microsoft Office

(Word, Excel, PowerPoint).

  • Experience with

paperless safety or learning management systems

(e.g., BIS Trainer).

  • Strong communication skills and the ability to work effectively with both office-based and field teams.
