Safety and Compliance Manager
Shepard Exposition Services- This is a full-time, temporary position expected to last approximately two years to provide coverage during a military leave of absence.*
The Safety and Compliance Manager plays a crucial role in fostering a culture of safety and compliance throughout the organization. This position oversees the development, implementation, and management of comprehensive safety initiatives across various operations, ensuring that employees at multiple warehouse locations, the corporate office, and work sites nationwide are protected. You will guarantee adherence to OSHA, DOT/FMCSA, and all applicable federal, state, and local regulations while promoting a proactive safety culture that minimizes risks and supports excellence in operations. Strong discretion and independent judgment will be essential in executing the key responsibilities of this role.
Key Responsibilities
Safety & Compliance Programs
- Design, implement, and manage safety programs that span operations, warehouses, office environments, driver safety, contractor oversight, and emergency preparedness.
- Ensure ongoing compliance with OSHA, DOT/FMCSA, and relevant safety regulations.
- Maintain and update the Safety Manual, Standard Operating Procedures (SOPs), and written safety policies.
- Conduct thorough facility audits and inspections, monitoring for corrective action completion.
- Track and report safety metrics, including incident rates, near misses, workers' compensation costs, and training completion.
- Develop a quarterly safety performance dashboard for leadership insights.
- Keep abreast of regulatory changes and adjust programs accordingly.
DOT Compliance Management
- Oversee organization-wide DOT/FMCSA compliance, which includes managing driver qualification files and vehicle inspections.
- Ensure adherence to fleet safety standards and accident investigation protocols.
- Collaborate with Operations leadership in managing the fleet program.
Incident Management & Investigation
- Manage the incident reporting system, ensuring accurate and timely documentation.
- Lead investigations for serious injuries, near misses, and property damage utilizing root cause analysis techniques.
- Track corrective actions aimed at preventing future occurrences.
- Conduct trend analysis to identify patterns for targeted prevention efforts.
- Oversee serious incident responses, including executive notifications and regulatory reporting.
Cross-Functional Collaboration
- Partner with Human Resources: Collaborate with HR on accommodation requests in the ADA interactive process and integrate safety into hiring and onboarding practices.
- Support Operations Leadership: Engage in daily safety execution, leadership development for managers, and integrate safety processes operationally.
- Collaborate with Client Services: Address RFP safety requirements, craft client safety documentation, and support client safety audits.
- Coordinate with Finance/Procurement: Manage budget-related aspects, insurance carrier partnerships, and uphold contractor safety standards.
- Work with Facilities: Oversee building safety, emergency action plans, and ergonomic workspace standards.
Training & Communication
- Design and provide safety training for all employees, including new hire orientations, role-specific training, specialized certifications (forklift, aerial lift, first aid/CPR), leadership training, and annual refresher courses.
- Maintain OSHA certification compliance.
- Communicate safety performance through newsletters, meetings, reports, and dashboards.
- Establish a safety champions network across departments and locations.
Leadership & Strategic Planning
- Supervise, mentor, and develop Safety Coordinators and other safety personnel as the department scales.
- Build internal safety competencies across the organization through effective training and mentorship.
- Conduct organization-wide risk assessments to identify hazards and improve safety practices.
- Benchmark safety performance against industry standards and pursue continuous improvement opportunities.
- Recommend safety investments backed by solid business justifications and ROI analyses.
- Represent the company’s safety capabilities during client meetings, RFPs, and industry events.
- Build strong relationships with insurance carriers, regulatory entities, trade associations, and industry peers.
Requirements
- A minimum of 5 years of hands-on experience as a safety manager.
- Strong verbal and written communication skills.
- Proficiency in Windows and Microsoft Office applications.
- OSHA 30-Hour General Industry certification is required.
- CSP or ASP certification is highly preferred.
- Familiarity with DOT/FMCSA regulations is advantageous.
- Thorough knowledge of OSHA and DOT/FMCSA regulations.
- First Aid, CPR, and AED certifications are required.
- Strong understanding of hazardous materials and practices.
- Experience in drafting health and safety policies and procedures.
- Proficient in safety management systems and data analysis.
- Experience managing workers' compensation and engaging with insurance carriers.
- A Bachelor’s degree in Safety Management, Occupational Health, or a related field is preferred; equivalent experience will be considered.
Working Conditions
- Perform facility inspections which may require significant walking, standing, climbing, and accessing varied areas.
- Occasional lifting of up to 25 pounds may be necessary.
- Work in diverse settings including office, warehouse, and outdoor environments.
- Travel of 20-30% is expected, including overnight and weekend trips.
- Availability for urgent safety matters outside typical work hours.
